What Corporate Events Actually Require
Corporate events look simple from the outside but carry a set of requirements that personal events do not. The attendees are colleagues, clients, or prospects — the impression the event creates reflects directly on the company. The decision maker is accountable to leadership for how the budget was spent. And unlike a backyard birthday party, a corporate event often requires a Certificate of Insurance, a vendor agreement, and sometimes W-9 documentation before any equipment arrives on property.

Company Picnic
Most common corporate event in Greater HoustonThe most frequently booked corporate event format in the Greater Houston area, particularly for companies in the energy, construction, and healthcare sectors with large employee bases. Company picnics are typically half-day or full-day outdoor events combining food, entertainment, and team activities. The challenge is keeping 100 to 500 employees engaged across a 4 to 6-hour event window in a format that appeals to varied ages and interests. Shade tents are non-negotiable for any company picnic from April through October.
Holiday Party
Peak season: November – DecemberCorporate holiday parties in the Greater Houston area range from indoor venue events to outdoor tent receptions. The most common format Torkay Event Services produces is an outdoor tent dinner with lighting, a DJ or live music, a full bar service, and a formal dinner setup. December weather in Houston is mild for daytime events but cold evenings require heaters. Holiday parties set a tone for company culture — the production quality reflects the company's investment in its team. Book early: holiday party dates fill from October onward.
Client Appreciation Event
Higher production standard requiredClient appreciation events carry a higher production standard than internal employee events — guests are clients or prospects and the event is a direct statement of the company's quality and attention to detail. Linens, flatware, glassware, and catering quality matter more at a client event than at a company picnic. Staging for executive remarks, quality AV for any presentation component, and formal staffing are expected. Award Dinner or Gala
Highest production standardAward dinners and galas require the most complete production setup of any corporate event format. A formal dinner with a stage for award presentation, full AV for video and sound, a podium and microphone, professional serving staff, premium table settings, and formal dress code production elements. The staging layout needs to create clear sightlines from all tables to the presentation area, and the AV system needs to handle wireless microphones for multiple speakers. This is where the DJ transitions to more of an MC role.
Team Building Event
Activity-led formatTeam building events are typically half-day or full-day outdoor productions centered around competitive group activities rather than a sit-down program. Casino nights, obstacle course competitions, yard game tournaments, dunk tank contests, and water slide events all work well for this format. The goal is creating shared experience that breaks down hierarchy and builds relationships. A company picnic format that adds structured competitive activity elements creates a natural team-building framework without requiring a facilitator.
Production Elements for Corporate Events

For outdoor or semi-outdoor corporate events. Size at 15 to 18 square feet per guest for a full production event with dining, presentation stage, and bar. Add stairs on both sides for speaker flow, and black skirting around the base for a professional finish. For outdoor corporate events at dusk or in the evening: market string lights overhead, LED uplighting in company brand colors, and focused flood lighting on the stage or podium. Pipe and drape panels with LED uplighting behind them create a formal backdrop for stage presentations. The chandelier above the dining area anchors the room visually. For daytime picnic events, ambient lighting is less critical but still useful if the event runs past 5 PM.

Company picnics in April through October require swamp coolers — this is non-negotiable for an outdoor corporate event in Greater Houston. Holiday parties in December need patio heaters for outdoor evening events. AV Equipment and Presentations
Corporate events with executive remarks, award presentations, or company video require proper AV. Torkay Event Services carries professional-grade AV equipment covering most corporate event presentation needs. For very large-scale productions with complex video switching, multiple displays, or live streaming requirements, Torkay Event Services can coordinate with specialized AV vendors — call to discuss what your event requires.
Three options: Behringer Eurolive B115D (1,000W), Electro-Voice ZLX-15P (1,000W), and Electro-Voice EKX-15P (1,500W). For a tent event of 100 to 200 guests, two EV EKX-15P speakers positioned at the stage corners provide excellent coverage. Black tripod speaker stands available. For larger events or unusual tent configurations, discuss speaker placement when booking.
Wired vocal microphone (Shure BETA 58A) for podium or stand use. Wireless handheld system (Shure QLXD24/B87A) for executive remarks and mobile presenters. Wireless headset system (Shure BLX14/P31) for hands-free presentation. Microphone stands available. For award ceremonies with multiple speakers, two wireless units eliminate cable management issues and speed transitions between speakers.
The Behringer Xenyx X1204USB 12-channel mixer with USB interface handles multiple simultaneous audio sources — presenter microphones, background music, video playback audio — and outputs to the speaker system. Essential for any event with multiple audio inputs. When booked with DJ services, the DJ manages the mixer. For non-DJ events with AV-only needs, coordinate operator responsibilities at booking.
65-inch 4K flat panel TV on adjustable tripod stand — best for indoor or shaded tent presentations where ambient light is controlled. 9x12 rear-projection framed screen — the largest display option for outdoor or large-tent events where a big image is required. 84-inch tripod screen with JVC 5,000-lumen DLP projector — versatile mid-size setup for events of 50 to 150 guests. AV note for outdoor events
Projection screens and flat panels are significantly harder to see in direct sunlight. For outdoor daytime events where a visual display is required, either use the largest high-lumen projector available and position the screen in the shadiest area of the tent, or consider mounting a large display inside the tent interior where ambient light is controlled. For events where video quality is mission-critical, discuss the display strategy with Torkay Event Services at booking — we can advise based on your specific tent orientation and event timing.
Food and Bar for Corporate Events
The catering and bar format should match the event type and the audience. A company picnic calls for casual, abundant, crowd-pleasing food. A client appreciation dinner calls for something more elevated. The bar setup varies more significantly — an all-ages company picnic may not need a bar at all, while an adult holiday party with a full open bar is a different production.
BBQ buffet (chicken, pulled pork, ranch beans, garlic mash, rolls) or taco and fajita bar are the two most popular formats for corporate picnics in Greater Houston. Both are crowd-pleasers, both handle large volumes easily, and both work well in an outdoor buffet service environment. Pasta bar (cooked to order), prime rib carving station, or a multi-course appetizer and dinner service elevates the presentation for client-facing events. A cocktail hour appetizer pass preceding the main dinner is standard for client events — it gives guests something to do during the arrival window and signals a more formal program. Add the dessert station (churros, cheesecake, brownies) to close the meal.
For corporate events with alcohol: beer and wine service (1 bartender per 75 guests) is most common for company picnics and HR-managed events. Full open bar (1 bartender per 50 guests) for holiday parties and client events. Review company policy on alcohol before booking — some corporate clients require a beer and wine format or a non-alcoholic event. A day-of coordinator is strongly recommended for any corporate event of 100 or more guests. The coordinator manages vendor arrivals, program timing, and logistics — freeing the company's event coordinator or office manager to be a host rather than a logistics manager. COI, Vendor Agreements, and Procurement Documentation
Corporate clients often require documentation that private clients do not. Torkay Event Services is set up to accommodate standard corporate procurement requirements — we have been working with Houston-area corporate accounts for more than 30 years.

This is the most common documentation request from corporate clients and one we fulfill without additional charge.
If your company requires vendors to be registered in a procurement system or to provide a W-9 before payment is processed, contact us early in the planning process. Vendor registration and W-9 processing can take time on the corporate side — initiating it at the same time as the event booking prevents payment delays that hold up the final production confirmation.
Some corporate legal departments require vendors to sign a company-specific vendor agreement in addition to the standard rental contract. Torkay Event Services can accommodate reasonable vendor agreement requirements — send the document to us early so any legal review on our end can happen before the contract needs to be executed.
Torkay Event Services accepts credit card payment online and check payment for corporate accounts. If your company requires a net payment term (Net 30, Net 45), discuss this at booking — extended payment terms may affect inventory hold and deposit requirements. Corporate Event Planning Timeline
Corporate procurement cycles are longer than private event booking cycles. Plan accordingly.
Get approval and initiate procurement. Confirm budget approval internally. Initiate vendor registration with Torkay Event Services if your company requires it. Confirm the event date and check inventory availability. For large company picnics (200-plus employees) or holiday parties, book at this stage — popular dates fill months in advance.
Sign contract and confirm production list. Execute the rental contract. Confirm the full equipment list — tent, tables, chairs, AV, staging, catering format, staffing. Request COI with your company or venue named. Submit W-9 to your accounts payable if needed. Confirm the venue or property address and any site access requirements.
Finalize guest count, menu, and program. Confirm final headcount (or best estimate) and adjust chair and table orders. Finalize catering menu and any dietary accommodation needs. Confirm program timing and provide to DJ and day-of coordinator. Confirm bar format and confirm who is purchasing alcohol. Finalize AV requirements and test plan.
Site prep and call 811. Call 811 for utility locate if tent stakes go into ground at property. Confirm site access and setup window with Torkay Event Services. Send event details and parking information to attendees. Confirm payment is processed or check is en route if applicable.
Setup complete — walkthrough with coordinator. Tent, staging, AV, dance floor, and lighting should all be in place. Walk through the completed setup with your day-of coordinator to confirm every element is in place and the layout matches the program flow. Do an AV sound check. Confirm the generator is running stable.

How far in advance should we book for a company picnic?
For company picnics of 200 or more employees, book 8 to 12 weeks in advance. Larger tent inventory fills well ahead of popular spring and fall dates. Corporate clients also frequently need lead time for internal approval processes, vendor registration, and procurement — starting the conversation with Torkay Event Services 10 to 12 weeks out gives you adequate runway for all of that. Check current date availability and call to hold a date while approvals are in progress.
What is the best outdoor venue option for a corporate event in Greater Houston?
Most company picnics in the Greater Houston area are held at company-owned property, a rented park or pavilion, or a private ranch or outdoor venue. Company-owned property or a private outdoor venue gives the most production flexibility — no venue restrictions on vendors, catering, or bar service. Public parks are viable but require permits and have power limitations. For events where you want the tent environment without the outdoor logistics, some companies host at a large warehouse or covered outdoor facility.
