Tent Sizing for Houston Outdoor Weddings

The tent size determines everything else. Get this right first.

For a wedding reception with seated dining, dance floor, bar, head table, cake table, and DJ or stage, plan for 15 to 18 square feet per guest. That is significantly more than a simple seated dinner requires — the additional elements add up fast. A wedding reception for 150 guests needs roughly 2,250 to 2,700 square feet of tent. The 40x60 (2,400 sq ft) covers a tight 150-guest layout. For 175 to 200 guests with full production, the 40x80 (3,200 sq ft) is the right call.

Always size up for a wedding. Weddings run long. Guests linger at the bar, on the dance floor, and in conversation. A tent that is slightly too large feels comfortable and welcoming. A tent that is exactly the right size for maximum capacity feels crowded by 9 PM when no one wants to leave. Budget for the next size up rather than the exact fit. Tables and Chairs for Wedding Receptions

For a seated dinner wedding reception, 60-inch round tables are the standard. Each seats 8 guests comfortably, 10 in a pinch. For a 150-guest wedding, plan for 17 to 19 guest tables, plus a head table for the wedding party, a cake table, a gift table, and a sign-in table. That is 21 to 23 tables minimum before adding cocktail tables for the bar area and any additional accent tables.

60-Inch Round Tables

The standard wedding dinner table. Seats 8 guests for a formal setting, 10 for a casual one. Creates a natural conversation environment — guests face each other across the table rather than sitting in a row. Pairs with 120-inch round tablecloths for full floor-length draping.

Quick count formula for a 150-guest seated dinner wedding: 19 round guest tables (8 per table) + 1 head table (8-foot rectangle, seats 10) + 1 cake table + 1 gift table + 1 sign-in table + 4 cocktail tables = 26 tables total. Chair count: 150 guest chairs + 10 to 15 head table chairs + 8 to 10 bar stools at cocktail tables = approximately 165 to 175 chairs. Always add 5 to 10 percent buffer — events invariably need extra chairs somewhere.

Linens and Table Coverings

Linens are one of the most impactful visual elements of a wedding reception and one of the most commonly under-ordered items. Match tablecloth size to your tables and the look you want to achieve.

120-Inch Round Tablecloth

Full floor-length drape on a 60-inch round table. The formal wedding standard — cloth reaches the floor all the way around. Used on all guest dining tables when full drape is desired.

108-Inch Round Tablecloth

Dance Floor Selection and Sizing

Dance floor sizing is one of the most underestimated decisions in wedding reception planning. Too small and guests are crowded and give up on dancing early. Too large and it looks empty and creates the wrong atmosphere. A good rule of thumb: plan for 2 to 3 square feet of dance floor per guest, but only count guests who actually dance. For 150 guests where perhaps 60 to 80 will dance at any given time, a 12x16 (192 sq ft) to 15x20 (300 sq ft) floor works well.

Outdoor dance floor note: Any dance floor installed on grass or soft ground should have subflooring underneath. Torkay Event Services carries plastic PortaFloor and plywood subflooring by the square foot. Subflooring creates a stable, level surface and prevents the dance floor panels from shifting on uneven ground. It also protects the grass at venues that require it. This is not optional for dance floors on grass — skipping it leads to an uneven, unstable surface that guests avoid.

Wedding Staffing — Who You Actually Need

Most couples understaff their weddings. The result: the couple spends their reception managing logistics instead of being present at their own event. The staffing list below reflects what actually makes a wedding run without the couple being pulled away to solve problems.

Day-Of Wedding Coordinator

Manages vendor arrivals, ceremony timing, reception flow, and timeline execution on the day of the wedding. The coordinator is the single most valuable hire for any outdoor tent wedding — they are the reason the couple actually gets to experience their own event. Licensed Bartenders

2 to 3 bartenders for a 150-guest full open bar wedding reception. Torkay Event Services bartenders are licensed and experienced in high-volume event service. They bring and manage all bar equipment, supplies, and service through the entire reception.

Servers and Waitstaff

For plated service or served appetizer courses, plan 1 server per 20 to 25 guests. For buffet service with table clearing, 1 server per 40 to 50 guests. Servers also handle cocktail hour tray-pass of appetizers and keep the bar area clean throughout the reception.

Wedding Rental Planning Timeline

When to book what for a Houston outdoor wedding. Inventory fills in order of booking date — not in order of event date.

9–12 Months Before

Book the tent and set the date. Large tent inventory (40x60 and above) is the first element to fill for popular spring and fall dates. 6–8 Months Before

Book catering, DJ, bartenders, and coordinator. Staffing and entertainment fill well ahead of the event date for Saturday bookings, especially in spring (March through May) and fall (September through November). Confirm your catering format and menu with Torkay Event Services at this stage so any custom requirements can be planned.

3–4 Months Before

Finalize tables, chairs, linens, dance floor, and lighting. Confirm final guest count or best estimate. Lock in table count, chair count, and linen colors. Choose your dance floor style. Build out your lighting plan — string lighting footage, uplight quantity, chandelier placement. Request COI for your venue at this stage if required.

4–6 Weeks Before

Confirm all counts, call 811, and finalize layout. Confirm exact chair and table counts with final RSVP numbers. Call 811 (Texas utility locate service) at least 3 business days before setup date to flag underground utilities in the tent footprint. Finalize the tent layout — where the dance floor goes, where the bar goes, which direction the tent faces relative to sun exposure.

1–2 Weeks Before

Confirm delivery window, review weather forecast, add sidewalls if needed. Confirm setup date and delivery window with Torkay Event Services. Check the extended forecast — for Houston outdoor weddings June through October, confirm sidewall decision based on weather outlook. Make any final additions (extra chairs, cooling equipment, additional lighting).

Day Before

Tent and setup complete — walk through with your coordinator. Large tent setups typically happen 1 to 3 days before the wedding date. Walk through the completed setup with your day-of coordinator to confirm every element is in place and the layout matches expectations. Identify anything that needs adjustment while there is still time to adjust it.

The optimal Houston wedding window. October averages 81°F with the lowest humidity of the year. November evenings are cooler — have patio heaters on standby. The most pleasant outdoor wedding conditions available in the Houston climate.

March & April ✓ Excellent

Spring is the second-most-popular Houston wedding season. Mid-70s in March, low 80s by late April. Plan for afternoon thunderstorm risk with sidewalls. No cooling equipment needed for March. Consider a swamp cooler for April afternoon events.

May & December △ Plan Carefully

May: heat arrives fast — swamp coolers are necessary for afternoon tent events. December: pleasant daytime temperatures but cold evenings — heaters required. Both months have higher rainfall. Sidewalls are not optional.

June–September ⚠ Manageable with Planning

Summer outdoor weddings in Houston require serious cooling infrastructure. Evening ceremonies and receptions (after 6 PM) are more comfortable. Multiple swamp coolers, sidewalls on sun-facing sides, and a weather contingency plan for August and September hurricane season are non-negotiable.

Do we need a generator for an outdoor tent wedding?

It depends on your venue. If your property has multiple 20-amp circuits accessible within 50 feet of the tent, a generator may not be necessary. However, a full-production outdoor wedding running DJ equipment, lighting, catering equipment, swamp coolers, and bar tools simultaneously draws significant power.
