How to Prepare Your Backyard for Event Rental Delivery

The access requirements, utility locate process, grass and ground preparation, power assessment, sanitation planning, and the property walkthrough checklist that prevents the day-of problems that derail backyard events in the Greater Houston area. Do these things before delivery day and the setup goes smoothly. Skip them and the setup stops.

What Actually Stops a Delivery

After 30 years of delivering event rentals to residential properties across the Greater Houston area, the same avoidable problems show up repeatedly. The gate is too narrow for the equipment. The crew hits an irrigation line with a stake and the event goes on hold. There is no power for the DJ and caterer. The grass was mowed the day before and the clippings are still on the ground. The neighbor's car is blocking the only access point.

None of these are complex problems. They are preparation problems. Every one of them is avoidable if the property is assessed and prepared before the delivery crew arrives. This guide covers every item in the order it needs to be addressed, starting with the most critical: the utility locate call that has to happen at least three business days before setup.

Call 811 — At Least 3 Business Days Before Setup

Texas One Call System — Free. Required by law when excavating.

This is the most critical step on this list and the one most commonly skipped. Tent stakes go into the ground. In residential areas throughout the Greater Houston Metro, underground utilities — irrigation lines, natural gas lines, electrical conduit, cable, and fiber — run beneath lawns in places homeowners do not expect. A stake that hits a gas line stops the event and creates a potentially dangerous situation. A stake through an irrigation line causes a soggy mess that affects the setup.

Calling 811 triggers a free utility locate service. A utility locator visits the property within 3 business days and marks the ground with colored flags and paint showing where underground lines run. The Torkay Event Services crew uses those marks to position stakes safely around the utilities. Without a locate, we cannot guarantee that any stake position is safe — and if you want us to proceed without one, that is the property owner's decision and liability, not ours.

How to call

Dial 811 from any phone. Available 24/7. You will provide your address and the planned dig area. Texas law requires the call at least 3 business days before any ground disturbance.

What happens next

Utility companies send locators to the property within 3 business days. They mark lines with colored flags or paint: red = electric, yellow = gas, blue = water, orange = communications, green = sewer.

If a utility is in the tent footprint

Call (281) 972-5110 immediately. We can adjust the tent position if there is clearance on the property, or switch to water barrel anchoring, which does not require any ground penetration.

Irrigation lines

811 locates public utility lines. Private irrigation systems are not always marked. If your yard has an irrigation system, tell us the zone layout when you call. The crew will adjust stake placement to avoid irrigation heads and known line paths.

Timing is non-negotiable.

If your tent setup is on a Saturday, the 811 call must go in no later than the Monday of that week — ideally the Tuesday or Wednesday before to allow a full working-week buffer. Calling Thursday for a Saturday delivery does not meet the 3-business-day requirement and the locators may not arrive in time.

Measure and Clear Your Access Route

The equipment has to get through before it can go up.

The Torkay Event Services delivery crew arrives with a truck and the tent equipment — frames, canopy fabric, water barrels, and accessories. The crew needs a clear path from the delivery vehicle to the setup area. Most residential backyards have a side gate or rear access point. That access point needs to be wide enough and tall enough for the equipment to pass through.

Gate Width

Minimum 4 feet wide for most tent frame sections. A 36-inch gate works for EZ-Up canopies and smaller accessories but will not pass large frame tent poles and canopy rolls. Measure your gate opening before delivery day. If it is less than 4 feet wide, call us — we may need to adjust the delivery approach or disassemble sections for passage.

Overhead Clearance

Tree branches, overhead power lines, and eaves can block the path from the truck to the setup area. Walk the access route from the gate to your planned tent footprint and look up. Branches that hang 8 feet or lower over the access path need to be trimmed before delivery day. Power lines over the tent footprint or access route require a different approach — call us.

Path Surface

The crew carries heavy equipment through the access path. A muddy or soft-ground path after recent rain slows everything down and can track mud into the tent area. If rain is in the forecast before your setup date and the access path is grass or bare ground, consider laying temporary ground cover or pavers along the access route.

Neighbor Vehicles

If your side yard access requires passing alongside a neighbor's fence or driveway, confirm that the path will be clear of parked vehicles on delivery day. A neighbor's car parked at the wrong angle can block a path that is otherwise wide enough. Give neighbors advance notice if their side of the access route affects your delivery.

No side gate? If your property has no side yard access, the delivery route is typically through the front of the house. Confirm with Torkay Event Services at booking so the crew plans accordingly. For large frame tents, front-access delivery requires a clear path from the street through the front yard to the backyard — remove any garden decorations, furniture, or obstacles along that route before delivery day.

Clear and Prepare the Tent Footprint

The tent needs clear space — and more than you might think.

The stated tent dimensions are the canopy coverage area — a 40x60 tent covers 40 by 60 feet. But the physical footprint of a frame tent is larger. Legs sit at the perimeter and stakes or water barrels go outside the leg line. You need at least 5 feet of clearance on all sides of the stated tent dimensions, and ideally more.

Remove all furniture, decorations, and stored items

Patio furniture, grills, potted plants, play equipment, and outdoor storage items need to be moved out of the tent footprint plus a 5-foot buffer around it before the crew arrives. The crew cannot set up around existing furniture, and they will not move your belongings. Clear the area completely — not just where the legs land, but the entire footprint and buffer zone.

Mow the grass at least 2 days before setup

Long grass traps moisture underneath the tent and creates an uneven, damp surface under tables and chairs. Mow the lawn 2 to 3 days before setup — not the day before. Fresh clippings are slippery and stick to everything. Mowing a few days early gives the clippings time to dry and scatter. Keep the mowing height slightly lower than normal in the tent area.

Stop watering the grass 3 to 4 days before setup

Wet or saturated ground creates problems on multiple levels. Soft ground means stakes do not hold as firmly. Wet grass under a covered tent stays wet and becomes slippery for guests. If you have irrigation, turn it off at least 3 to 4 days before setup to give the ground time to firm up. Houston's humid climate means this matters more here than in drier climates.

Level assessment — slopes and grade changes

Frame tents accommodate moderate ground slopes with leg height adjustments. What they cannot accommodate is a significant grade change within the tent footprint — a slope that drops 12 or more inches from one side to the other creates an uneven floor that is both unstable and uncomfortable. If your yard has a significant slope in the planned tent area, call us before booking to discuss whether the layout needs to be adjusted or whether subflooring is the right solution.

Pet waste — non-negotiable

The setup crew works in the tent footprint for several hours. The area must be completely clear of pet waste before they arrive. This is the most commonly overlooked item on this list and the one most likely to cause friction with the crew. Do a thorough yard check the morning of delivery day.

Assess Your Power Supply

Outdoor events draw more power than most residential setups can handle without planning.

A full outdoor event production running DJ equipment, string lighting, uplights, swamp coolers, catering equipment, and bar supplies simultaneously draws significant power. Most residential properties have 200-amp service, but the accessible outdoor circuits are typically limited to two or three 15- or 20-amp circuits within reach of the tent area. That is not enough for a full production event without tripping breakers.

Identify your outdoor outlets

Walk the perimeter of your house and locate every outdoor GFCI outlet. Note which breaker each one is on — ideally they are on separate circuits. Confirm whether those outlets are within 100 feet of the tent area (the maximum practical extension cord run for full-load equipment).

Calculate your load

Quick estimate: DJ system 1,200–2,000W; string lighting 500–1,500W; swamp cooler 800–1,200W each; catering equipment 1,500–3,000W; uplighting 400–800W. A full production event can require 8,000 to 14,000 watts of total available power. A single 20-amp/120V circuit provides only 2,400W.

When to rent a generator

If you have fewer than 4 separate 20-amp circuits accessible within 100 feet of the tent, rent a generator. Torkay Event Services carries three generator sizes: 3,500W (quiet inverter, ideal for smaller events), 4,000W (standard), and 9,400W (full production events). Generator placement

Generators must be placed outside the tent — never inside an enclosed or semi-enclosed space. A minimum distance of 10 to 20 feet from any tent opening is recommended for exhaust safety. Plan the generator placement when you plan the tent layout so power runs are efficient. Extension cords from Torkay Event Services are available in 50- and 100-foot heavy-duty runs.

Tell us your power situation at booking. When you call to book, mention whether you have adequate outlet access or need a generator. This is how we make sure the crew arrives with the right equipment and plans the power layout correctly for your property. A generator that gets added the day of delivery cannot always be positioned optimally.

Plan Your Restroom Access

The math on house bathrooms versus guest count is less favorable than most hosts realize.

Most hosts assume that the house bathrooms are sufficient for their outdoor event. That assumption works for small gatherings of 30 to 40 guests. It breaks down at 60 guests and above, especially at events with a bar and a multi-hour run time. The standard industry guideline is one restroom fixture per 50 guests for a 4-hour event, scaling up for longer events and higher alcohol service volume.

House bathrooms: what works

For events up to 50 guests with 2 or more bathrooms accessible to guests, house facilities typically work. Designate one bathroom specifically for guest use, stock it with extra supplies, and assign someone to check it every 30 to 45 minutes during the event.

Porta Potty

Standard porta potty rental is appropriate for 50 to 100 guests for a 4- to 6-hour event. For larger guest counts, add one unit per 75 to 100 additional guests. VIP Toilet Trailer

The 2-unit VIP toilet trailer is a climate-controlled, interior-lit restroom trailer that looks and functions like a high-end venue bathroom. For weddings, quinceañeras, and formal events where a standard porta potty is not appropriate, the VIP trailer is the right option. Requires a flat, accessible surface and a longer delivery lead time — confirm at booking.

Hand Wash Station

The 2-sink hand wash station is a fully stocked, self-contained unit that does not require any water hookup. For events with catering, it is strongly recommended near the dining area and required at events where food is served by staff. It doubles as a supplemental handwashing station alongside porta potties. Available from Torkay Event Services.

Parking and Neighbor Communication

The event starts before guests arrive.

Parking plan

For events of 60 or more guests at a residential address, street parking alone rarely handles the volume. Identify overflow parking options in advance — a neighbor with a large driveway, a nearby church or community parking lot, or a vacant lot. Communicate the parking plan to guests on the invitation. For large events, consider traffic cones and barrel cones along the street access to guide arrival.

Notify neighbors in advance

In residential areas throughout Harris, Montgomery, Fort Bend, and Waller Counties, an outdoor tent event with a DJ and catering is a significant production from a noise and traffic perspective. Notify neighbors at least a week in advance — ideally with an invitation or a note with the event date, approximate end time, and your phone number. Most noise complaints happen because no one communicated. A heads-up removes the surprise.

HOA rules

Many communities in Cypress, The Woodlands, Katy, Sugar Land, and other Greater Houston suburbs have HOA rules governing outdoor structures, noise hours, and temporary tents. Check your HOA guidelines before booking and confirm whether any approvals are required. Some HOAs require a notice or approval for temporary structures over a certain square footage. This is the homeowner's responsibility to confirm — Torkay Event Services does not manage HOA approvals.

Anchoring: Stakes vs. Water Barrels

The right anchor method depends on your surface and utility situation.

Ground Stakes (Standard)

Tent stakes driven into the ground are the standard anchoring method for grass surfaces. They provide the most secure hold for wind resistance. Require a 811 utility locate before installation. Cannot be used on concrete, asphalt, or in areas with confirmed utility conflicts. Available as included standard anchoring hardware.

Water Barrels (No Ground Penetration)

White water barrel weights anchor tent legs on hard surfaces or where ground staking is not possible. Each barrel holds approximately 500 lbs of water when filled on-site. Water barrels are the required anchoring method for concrete driveways, asphalt pads, pavers, and any surface that cannot be penetrated. Complete Backyard Preparation Checklist

Work through this in order. Everything marked "Before delivery day" must be done before the crew arrives — not during setup.

2+ Weeks Before

  • Confirm tent footprint fits in available yard space (plus 5-ft buffer all sides)
  • Check HOA rules for temporary outdoor structures
  • Identify and notify neighbors of the event date and end time
  • Assess power supply — confirm generator need
  • Identify parking plan for overflow guests
  • Plan restroom strategy (house, porta potty, VIP trailer)
  • Confirm whether irrigation system layout is known and map zones

3+ Business Days Before Setup

  • Call 811 — most critical item on this list
  • Inform Torkay Event Services of any utility locations that may affect stake placement
  • Turn off irrigation system — ground needs time to firm up

2–3 Days Before Setup

  • Mow the grass in the tent footprint area
  • Trim any tree branches hanging below 8 ft over the access route or tent area
  • Move patio furniture, grills, and stored items out of the footprint plus buffer
  • Confirm utility locate flags are in place (or call 811 if not received)

Morning of Delivery Day

  • Clear pet waste from entire yard area
  • Confirm side gate or access route is clear and unlocked
  • Remove any vehicles parked near the access route
  • Confirm a household member is present for the delivery window
  • Have your Torkay Event Services order confirmation available
  • Mark any irrigation heads or known underground features with small flags

Backyard Event Delivery Questions

When does the Torkay Event Services crew arrive to set up?

For most tent events, setup happens the day before the event — typically the Friday before a Saturday event. The crew needs adequate time to install the tent, string lighting, dance floor, and other elements safely. Day-of setup is available for smaller events and simpler setups, but for large tent productions, day-before setup is strongly preferred. Confirm your setup window when booking. Use the online calendar to check available dates or call (281) 972-5110 to coordinate the timing.

What if it rains before the delivery and the yard is muddy?

Mud significantly complicates tent setup. Soft, wet ground reduces stake holding strength, and the crew working in muddy conditions for several hours is slower and messier. If heavy rain is forecast in the days before your setup, call us to discuss options. Potential adjustments include delaying setup to allow the ground to firm up, switching from stakes to water barrel anchoring, or adding subflooring inside the tent if the surface is very soft. Can a tent go on a concrete or paver patio?

Yes. Frame tents can be anchored on concrete or paver surfaces using water barrel weights rather than ground stakes. Water barrels hold significant weight and provide adequate anchoring for most wind conditions. Hard surface installation requires water barrel availability — confirm this when booking so the crew arrives with the barrels. Does someone need to be home during delivery?

Yes. A responsible adult must be present for the entire delivery and setup. The crew needs to confirm the layout, placement decisions, and any site-specific adjustments with someone who has authority to make those decisions. Leaving the delivery unattended is not an option for tent setups — the layout decisions made during installation affect the entire event.
